Customer Privacy Notice
The purpose of this privacy notice is to outline the personal data that we Mardyke Valley Golf Club Limited hold about you and to notify you of how that data is used and your rights under the General Data Protection Regulation (GDPR).
The personal information we collect about you can include:
Data relating to your identity (Including name, title, date of birth, gender, photographs)
Contact details (Address, telephone numbers, email addresses, emergency contact details)
We use this information to:
Create you an account and user profile to store your handicap
Send you service-related communications, including announcements and administrative messages
Marketing
Book a Tee Time on your behalf
Maintain your membership with the world handicap network
Provide golf lessons
Book a function
Book you onto tournaments
Record any accidents or incidents on site
Post Club photos around the club and on social media
Lawful basis for processing:
Mardyke Valley Golf Club have a legitimate interest to process personal data to complete the administrative functions of the business to provide members and guests access to our golfing facilities, this includes information such as handicaps which are required to book you onto tournaments or gender to ensure you are playing on a level playing field during a tournament.
We would occasionally like to market to our customers, we ask for your consent to contact you in relation to updates and functions happening at the golf club and will do this either through our third-party provider or on the direct booking forms; consent on this matter can be revoked at any time by contacting Mardyke Valley Golf Club directly.
During tournaments photos will be taken of the teams, we ask for your consent to use these photos around the clubhouse and on our social media pages, consent forms will be stored directly in your customer file and consent on this matter can be revoked at any time by contacting Mardyke Valley Golf Club directly.
Our top priority is to keep our customers safe and we are legally obliged to keep an accident book on site to record any accidents or incidents on site.
Who we share your data with:
We currently use a third party booking company to book our tee times, you can view their privacy policy by visiting the following link: https://www.nbcuniversal.com/privacy
We use Handicap Master to record customer data, the information is hosted in the cloud by Handicap Master and is controlled by Mardyke Valley Golf Club, including the deletion of data.
Retention Policy:
We are legally obliged to keep information from the accident book, accident records and reports for 3 years from the date of the last entry (or if the accident involves a young adult, then until that person reaches the age of 21) under The Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 1995 (RIDDOR) (SI 1995/3163) as amended, and Limitation Act 1980.
All other information on our customers are kept for the duration of our business relationship plus 6 months after the account is closed.

Member Terms and Conditions
Members May Book up to 14 days in advance and can book in accordance to their membership type as stated below.
Definition of each Class of Member
(a) Full Members shall pay annually such subscriptions as the Directors may from time to time determine. They shall be entitled to all the rights and privileges of the Club and its facilities.
(b) 6-day Members shall pay annually such subscriptions as the Directors may from time to time determine. Subject to the provision that, unless specifically exempted by the Directors, shall pay such Green Fees as are provided for Temporary Members when playing before 1pm on Saturdays, Sundays and Bank Holidays.
(c) Five- Day Members shall pay annually such subscriptions as the Directors may from time to time determine. Subject to the provision that, unless specifically exempted by the Directors, they shall pay such Green Fees as are provided for Temporary Members when using the Golf Course on Saturdays, Sundays and Bank Holidays. Five-Day Members shall enjoy all other rights and privileges of Full Members.
(d) Joint Members (Husband and wife or partners) shall pay annually such subscriptions as the Directors may from time to time determine. They shall be entitled to all the rights and privileges of the Club and its facilities.
(e) Veterans membership will be offered to Ladies 65 years of age & over, and Men 65 years of age and over. Membership rights will be that of Five-Day but at a reduced annual subscription to be determined by the directors.
(f) Junior Members shall pay annually such subscriptions and be subject to such restrictions on play, as the Directors may from time to time determine. The term Junior is defined as a person who is 12 years of age on joining but has not reached the age of eighteen years at the 1st April of that year. The Directors may, at their discretion, grant the playing privileges of Colt Membership to Junior Members on reaching 18 years of age, whose progress at Golf in their opinion merits such award.
(g) Student Members. Persons undergoing full time education or professional training at an establishment, may in the discretion of the Directors, be admitted as Student Members so long as they have reached the age of 18 years, and are in full time education or are in possession of a current Student Union Card and shall be entitled to the privileges of Full Members and liable for such annual subscriptions as the Directors may from time to time determine.
(h) Colt Members. The Directors, at their discretion, will grant 5 or 7-day playing privileges to juniors having reached the age of 18 at reduced subscriptions, for a maximum period of 3 years. The annual subscription to be determined by the Directors.
(j) Social Members. Social Members shall pay annually such subscriptions as the Directors may from time to time determine. They shall be entitled to all the rights and privileges of the Club and its facilities, except playing privileges.
